` is rendered in the DOM.
After confirming the widget container is present in the DOM, manually trigger the widget scan using:
```javascript theme={null}
window.widgetLib.scanWidgets();
```
In React apps, calling this inside a `useEffect()` hook after the component mounts typically resolves the issue.
### General Questions
The AI Web Widget is an embedded digital assistant that lives directly on your website. It allows visitors to engage with your trained inbound AI agent through a chat-like experience, helping them ask questions, book appointments, or request callbacks—all without leaving your site.
The Web Widget can be configured as embedded or overlay. Embedded mode integrates directly within your page layout, while overlay mode floats on top of your content.
### Configuration
During widget configuration, you must enter the domain(s) where you want the Web Widget to appear. This ensures that the widget only renders on authorized websites and prevents unauthorized use.
If your website domain is not properly whitelisted, the widget will not load or display on your site. Make sure to enter the correct domain(s) in the widget configuration panel before deploying the snippet.
The widget appearance can be customized through the configuration panel. You can adjust:
* Widget size (small, medium, large)
* Theme (Light or Dark)
* Idle and Speaking visuals
* Agent faces or built-in icons
* Custom image uploads
* Placement (Embedded or Overlay)
* After Call recap display
### Usage and Results
In most cases, this means your account has **no available credits**.
The Web Widget uses the same credit balance as inbound phone calls. If your balance is empty, the widget may appear visually but will not respond or speak.
**How to fix it:**
* Go to **Profile Settings > Billing**
* Add credits to your account
* Confirm credits are available
No redeploy or code changes are required. Once credits are added, the widget will begin working automatically.
Once configuration is complete, thinkrr generates a code snippet. You must paste this snippet directly into the HTML of your website where you want the widget to appear. Placement guidance for specific platforms like Wix, GHL, WordPress, Shopify, and others is provided in this guide.
Yes. The AI Web Widget is responsive and designed to work across desktop, tablet, and mobile devices, ensuring a consistent experience for all users.
Due to how Wix handles domain sandboxing, the widget may not render properly in the Wix Editor or Preview mode. To resolve this:
* Temporarily whitelist **filesusr.com** in your widget settings.
* Remove **filesusr.com** from the whitelist after your site is published to maintain security.

## Additional Scheduling Considerations
Effective call scheduling goes beyond simply selecting a time and date, it requires aligning system settings with real-world outreach strategy. Regardless of whether you're using thinkrr's campaign settings or GHL's workflow automations, a few strategic considerations can significantly impact results.
* **Time Zone Awareness**: Always schedule calls according to the time zone of your target audience. Misalignment here can lead to missed calls or low engagement.
* **Client Availability**: Consider when your ideal customers are most likely to answer. For B2B, weekday mornings may perform better; for B2C, evenings or weekends might be ideal.
* **System Load Management**: When scheduling high-volume campaigns, spread out calls using frequency or batch pacing settings to avoid system overload or delivery issues.
* **Platform-Specific Timing Logic**: In thinkrr, scheduling is handled within each campaign's configuration. In GHL, Drip Mode allows finer control over frequency, days, and call time windows.
* **Edit Limitations**: Once a schedule is active (e.g., campaigns are executed or contacts are added to automation), most platforms lock those parameters. Plan carefully before launching.
By planning your campaign timing thoughtfully and configuring platform tools correctly, you can improve connection rates, reduce retries, and maintain a smooth user experience across outbound projects.
## FAQs & Troubleshooting
### General Questions
Scheduling in GHL relies on defining the start date, time, and frequency (e.g., daily, weekly) when enrolling contacts into a published workflow. You can adjust batch sizes and scheduling windows using Drip Mode for large volumes.
No, once contacts are enrolled and scheduled, the campaign will execute as defined in the workflow. You cannot modify the schedule for contacts already in the queue.
### Configuration
Modifications to a workflow after contacts are added will not affect those contacts in the queue. You would need to remove and re-add contacts to apply changes to their schedule.
Scheduling in GHL is subject to system processing limits, especially when working with large batches. It is recommended to monitor workflow performance for large campaigns to ensure smooth execution.
### Usage and Results
Ensure that the workflow is published and that all scheduling parameters (start time, frequency, and batch sizes) are set correctly. Additionally, check if there are any network issues or invalid contact numbers.
You can track the status of scheduled calls within the **Campaign History** or **Call Analytics** sections of the GHL dashboard. Each entry includes the timestamp, scheduled time, status, and related campaign data.

# Campaign Statuses
Source: https://docs.thinkrr.ai/guides/usage/outbound-calling/Campaign-Statuses
Definitions for each campaign status in thinkrr. Understand how to interpret the current state of your outbound calling efforts at a glance.
## Overview
Campaign statuses are essential for tracking the performance of each campaign in thinkrr. They allow users to understand the outcomes of their outreach efforts and make data-driven decisions to improve future campaigns. Each status represents a distinct stage in the campaign's lifecycle, from initial engagement to follow-up actions, providing clear insights into how a campaign is progressing and whether further interventions are needed.
## How to Check Your Campaign Status
To access your campaign management and track statuses, follow these steps:
From the **Home** screen, select an existing outbound project.
Inside the project, click the **Project Campaigns** tab to view all campaigns associated with the project.
Click the campaign you want to review to open the campaign workspace.
In the campaign view, you can see the campaign’s current **Status** directly in the campaign header and campaign list.
Campaign statuses indicate whether the campaign is **Not Started**, **Started**, **Paused**, **Complete**, or **Ended**, and reflect the overall execution state of the campaign.
## Campaign Statuses
| **Status** | **Description** |
| - | - |
| **Not Started** | The campaign has been created but has not yet begun executing any calls. |
| **Started** | The campaign has been initiated, but no calls have been executed yet. |
| **Complete** | The campaign has finished executing all scheduled calls successfully. *(Previously called Executed)* |
| **Paused** | The campaign has been temporarily halted, often due to an issue or for review. |
| **Ended** | The campaign was manually stopped before completion. |
## Campaign Considerations
In addition to these statuses, it is important to note how **call connection time** is tracked in thinkrr. Calls that are successfully connected, whether answered or sent to voicemail, will count toward the **Total Time Spent** in the campaign. This includes calls marked as:
* **Completed**
* **No Answer**
* **No Message**
* **Left Message**
Any failed connection, such as **Issue Dialing** or **Failed**, will not count toward the total time spent in the campaign.
Campaign statuses provide valuable feedback for evaluating the overall performance of a campaign and help guide decisions on whether to adjust call frequencies, campaign durations, or engage in additional follow-up efforts, such as scheduling another call or sending an email reminder.
To ensure the success of your campaign, consider the following factors:
* **Campaign Scheduling** – Make sure that your campaign is scheduled to run at optimal times for your target audience.
* **Campaign Review** – Periodically review the status of the campaign to identify any pauses or issues that need to be addressed.
* **Follow-up Actions** – Adjust the next steps based on the campaign’s completion, whether by scheduling additional calls or sending follow-up communications.
***
## FAQs & Troubleshooting
### General Questions
Campaign statuses allow users to track the outcome of every call attempt within a campaign. They help evaluate outreach effectiveness, guide improvements, and determine if follow-up actions such as scheduling another call or sending a message are needed.
Yes. Within the thinkrr dashboard, you can filter your call history or campaign analytics by specific statuses, allowing you to better understand patterns like unanswered calls, failed attempts, or meetings booked.
### Configuration
thinkrr automatically assigns a campaign status based on the outcome of the interaction. For example, if a call reaches voicemail and a message is left, it is marked as **Left Message**. If the user hangs up, it is marked as **User Hung Up**. These assignments require no manual tagging.
Currently, campaign status definitions are standardized across all campaigns to maintain consistency in reporting. Custom logic for status determination is not supported but may be added in future updates.
Only **connected calls** (e.g., Completed, No Answer, No Message, Left Message) count toward the **Total Time Spent** in your campaign and may influence usage or billing metrics depending on your plan. Failed or undelivered calls do not count toward these totals.
### Usage and Results
These typically result from network errors or invalid numbers. Check the phone number formatting and ensure network settings are stable. Reattempting the call at a later time or verifying the contact info is recommended.
If a user requests a callback, the system marks the status as **Callback**. You can view these entries in the call logs and take appropriate action manually or set up a follow-up campaign to automatically retry the call at a later time.
Campaign status logs are accessible via the **Campaign History** or **Call Analytics** sections in the thinkrr dashboard. Each entry includes the timestamp, call duration, status, and relevant AI interaction data.

### 5. Customising Workflows with Payload Values
Payload values in thinkrr workflows can be used to store important information, such as call transcripts, call start and end times, or meeting details. These values can then be processed further within automations or workflows in thinkrr CRM/GHL. By combining **Call Status Filters** with payload values, you can build highly dynamic and advanced workflows. Below are some practical ways to use payload values in your workflows:
**Using Call Status Filters**
Call Status Filters in the **Contact Called** trigger allow you to define different paths in your workflow based on the call outcome. For example:
* **Meeting Booked**: Automatically update the contact’s status and send an email confirmation with meeting details.
* **No Answer**: Tag the contact for a follow-up attempt or schedule a reminder call.
* **Voicemail with Message**: Notify your team with a summary of the voicemail or store it in the contact record.
**Storing and Using Payload Values**
1. **Storing Payload Data**:
* Update a **Contact Field** to save payload data, such as transcripts, meeting locations, or appointment details, into contact records or custom fields.
* This allows you to retain critical data for further actions or reporting.
1. **Post-Processing with Custom Values**:
* Store a call transcript or other payload value into a custom value in the workflow.
* Use this custom value in advanced actions, such as:
* Sending the transcript to a **ChatGPT custom action** to generate insights or summaries.
* Creating automated follow-up tasks based on the tone or sentiment of the call (e.g., if sentiment = negative, assign a priority follow-up task).
1. **Dynamic Workflow Examples**:
* **ChatGPT Integration**: Save the call transcript as a custom value, then pass it to a ChatGPT action to summarize the call or draft a follow-up email based on the conversation.
* **Sentiment-Based Actions**: Use the **Call Sentiment** payload value to segment your workflow. For instance:
* If **Call Sentiment = Negative**, tag the contact as “Needs Attention” and alert the support team.
* If **Call Sentiment = Positive**, schedule a follow-up meeting to build on the positive interaction.
* **Meeting Confirmation Emails**: Automatically pull meeting details (e.g., date, time, location) from the payload values and include them in an email template to the contact.
1. **Advanced Use Cases**:
* **Pipeline Management**: Use the **Meeting Booked** status to trigger movement in your sales pipeline stages.
* **Recording Access**: Store the **Recording URL** as part of the contact record, enabling easy access for future reference or quality control.
* **Custom Reporting**: Save values like **Call Status**, **Transcript**, and **Sentiment** into custom fields for detailed reporting or analysis.
By combining **Call Status Filters** with **Payload Values**, you can automate sophisticated workflows that store, process, and act on call data in real time. These capabilities ensure your workflows are efficient, adaptable, and capable of handling complex business requirements.
## FAQs & Troubleshooting
A: Currently, projects created in thinkrr do not automatically sync with thinkrr CRM/GHL workflows. For a project to be used in a thinkrr CRM/GHL workflow, you must manually set it up as a **Dynamic Outbound Call** action within the workflow. Additionally, configurations set in thinkrr (e.g., greeting scripts, meeting details) do not sync with thinkrr CRM/GHL and must be manually mirrored in your workflows.
However, **all Call History from thinkrr is synced back into the platform**, allowing you to review call details, listen to recordings, and access transcripts directly within thinkrr. This ensures that even though configurations are not synced, you have a complete history of all interactions for reference.
A: The Payload Values available depend on the scenario you’ve selected in thinkrr. To check, open your workflow in thinkrr CRM/GHL and select an action like **Update Contact Field** (the tag icon inside the action). Navigate to **thinkrr Voice AI > Contact Called** to view the list of available values. Review the dropdown to understand what you can process, such as transcripts, meeting details, or sentiment.
Also refer to the documentation for each scenario for further details.
A: If a Dynamic Outbound Call fails to execute, check the following:
* Ensure that the contact’s phone number is valid and formatted correctly.
* Verify that the thinkrr project linked to the action is active and properly configured.
* Review the **Execution Logs** inside the workflow for details about the error.
* Confirm that your thinkrr CRM/GHL automation is published and the action is correctly set up.
If the issue persists, contact our support team at [hello@thinkrr.ai](mailto:hello@thinkrr.ai).
A: Yes, you can. Use the **Contact Called** trigger in thinkrr CRM/GHL workflows and apply **Call Status Filters** to segment actions. For example, you could trigger:
* A workflow to send an email confirmation if the status is **Meeting Booked**.
* Another workflow to schedule a follow-up attempt for **No Answer**.
By combining multiple workflows, you can tailor outcomes to fit your needs.
A: Yes! thinkrr provides a **Call Sentiment** payload value that can be used in workflows. For example:
* If sentiment is **Positive**, you could move the contact to a “Hot Lead” stage in your pipeline.
* If sentiment is **Negative**, you could tag the contact for a priority follow-up or escalate the case to a team member.
This allows for advanced sentiment-based automations to improve your contact handling.
A: For **No Answer**:
* Use the **Contact Called** trigger with the **No Answer** filter to tag the contact for a follow-up attempt or schedule a reminder call.
For **Voicemail**:
* If a message was left, store the voicemail transcript with the contact, either in a custom field or within the Notes.
* If no message was left, tag the contact to prioritise another call attempt during a more optimal time.
Efficiently handling these statuses ensures no leads slip through the cracks.

# Management & Assignment
Source: https://docs.thinkrr.ai/guides/usage/phone-numbers/Management-and-Assignment
How to create, assign, manage, and configure phone numbers inside thinkrr for both inbound agents and outbound campaigns.
## Overview
The thinkrr Voice AI platform provides flexibility for managing phone numbers across inbound agents, outbound campaigns, and global communication strategies. There are three ways to add a phone number to your account:
1. **Create a new phone number directly in thinkrr** — Purchase a Twilio-based number through the platform by selecting a country and area code.
2. **Import a number from Twilio** — Bring in a phone number you already own in your Twilio account.
3. **Import your own existing phone number** — Bring any phone number you already own into thinkrr for use with outbound calls. This lets you use a familiar number your contacts already recognize, without needing a Twilio account.
Every phone number uses one phone number slot, however it is added. Once added, numbers can be assigned to agents and campaigns as needed.
> ⚠️ **Important:**\
> thinkrr phone numbers are separate from GoHighLevel (GHL) phone numbers. They are not interchangeable.
>
> * Phone numbers must first be created inside thinkrr for each sub-account.
> * Once registered or imported in thinkrr, those numbers will automatically appear as available options inside GHL workflows (when properly linked via sub-accounts).
> * You cannot register a GHL-native number and expect it to appear inside thinkrr.
> * Twilio numbers cannot be imported twice (e.g., one in thinkrr and one in GHL or vice-versa).
***
## Adding New Phone Numbers - thinkrr Native
When first setting up your thinkrr account or when adding additional numbers later, you can register new phone numbers directly from thinkrr.
* Each thinkrr account includes one free phone number.
* Additional numbers can be created any time.
### Phone Setup Wizard
* Accessed during initial onboarding or anytime via your thinkrr dashboard **Phone Numbers → Setup Phone Number**.
* In the wizard:
1. **Choose a Country** — US or Canada.
2. **Enter an Area Code** — Input your desired area code.
3. **Select a Phone Number** — Pick from the list of available numbers matching your area code.
* If no numbers are available for your preferred area code, search with nearby or broader regions to find an available number.
### Why Area Codes Matter
**Localized Presence:**\
Matching the area code of your phone number to the geographic region of your audience can increase trust and boost call pickup rates.
* Example: If you're targeting customers in Miami, using a 305 area code will make your calls feel more local and familiar.
**Strategic Outreach:**\
Businesses operating in multiple regions can use unique area codes for each audience, creating a localized strategy for inbound and outbound communications.
***
## Importing Numbers from Twilio
During initial setup or later via the Phone Numbers section, you can import Twilio numbers into thinkrr.
* This allows you to use phone numbers purchased directly from Twilio inside thinkrr.
* Each imported number uses one phone number slot.
**Information Needed to Import Twilio Numbers:**
* Twilio phone number
* Twilio account ID
* Twilio account auth token
**Using Imported Numbers:**
* Once successfully imported, Twilio numbers can:
* Be assigned to **Inbound Agents**
* Serve as the **Call From** number in **Projects** and **Campaigns**
***
## Import Your Own Existing Phone Number
You can bring your own existing phone number into thinkrr for use with outbound calls. This is ideal if you already have a well-known business number that your contacts recognize and trust.
### How to Import Your Own Number
1. Navigate to **Phone Numbers → Setup Phone Number → Use My Existing Phone Number**.
2. Enter the phone number you want to import.
3. A verification call will be placed to the number to confirm ownership.
4. Once verified, the number becomes available in your account.
> ⚠️ **Important:** Imported personal phone numbers can only be used for **outbound calls**. They cannot be assigned to inbound agents.
### Pricing
Importing your own phone number uses one phone number slot. There is no separate import fee, and calls made with the number consume credits the same way as any other call.
***
## Assigning Numbers to Inbound Agents
Phone numbers can be assigned or reassigned to inbound agents easily.
### During Agent Creation
* A phone number must be assigned when first creating the agent.
* If a number is already in use, thinkrr will indicate it.
### Reassigning Existing Agents
* Navigate to the agent, then click **Settings** on the top right of the screen.
* In the **Agent Settings** tab (the first tab), you can update the phone number attached to the agent.
* Save your changes.
> ⚠️ **Note:** Inbound agents require a phone number to exist. If the phone number assigned to an agent is deleted, the agent will also be deleted.
***
## Assigning Numbers to Outbound Campaigns
* Navigate to the **Campaign View** inside one of your [**outbound projects**](/Projects-and-scenarios) and select an existing campaign or create a new one.
* Click **Campaign settings** on the top right of the campaign page.
* In the **Campaign Settings** tab (the first tab), select any available phone number.
* Phone numbers for campaigns can be reassigned at any time.
* Multiple campaigns may share the same phone number for consistency or tracking.
***
## Shared Use Across Inbound & Outbound
* Inbound Agents **cannot** share phone numbers with other inbound agents. Each one must have a unique number if they are not deployed exclusively on the web.
* The same phone number, however, can be assigned to both inbound agents and outbound campaigns simultaneously.
* This allows for seamless behavior when contacts call back after an outbound call — they'll automatically reach your assigned inbound agent.
***
## Multiple Numbers: Assignments & Use Cases
### Phone Number Slots
Every phone number in thinkrr uses one phone number slot, whether it was created in the platform, imported from Twilio, or imported as your own existing number.
* Each thinkrr account includes **one free phone number**, which can be claimed at any time.
* The Phone Numbers page shows how many slots you are using, for example 1/1.
* Additional slots can be purchased directly within thinkrr for **\$1.90 per month each**, billed as a recurring subscription. Use the buy button at the top of the Phone Numbers page.
* All numbers available in thinkrr — including those purchased through the platform — are **Twilio-based**.
* Users can purchase up to **50 numbers at a time** in a single batch.
* Twilio numbers can also be imported from an external Twilio account if you already own them.
### Flexible Assignments and Use Cases
Multiple numbers can be strategically assigned to:
#### Inbound Agents
* Assign unique numbers to agents based on language, department, or purpose.
* Example: One number for an English-speaking receptionist, another for a Spanish-speaking agent.
* Use separate numbers for distinct roles like General Business Inquiries or Personal Assistant Services.
* Enable direct communication channels for specialized teams or individual agents.
#### Outbound Campaigns
* Assign a unique "call from" number for each campaign to better align with the target audience.
* Enhance campaign tracking and attribution by associating specific phone numbers with corresponding campaigns.
#### Departmental and Regional Separation
* Use numbers tailored to specific geographic regions or departments for a localized experience.
* Example: using particular area codes to phone contacts within that same geographic region.
### Call Transfer Capabilities
Having multiple phone numbers enhances the functionality of the Call Transfer action for AI Agents:
* Calls can be transferred between agents within thinkrr or to external numbers.
* Example: A general receptionist agent can transfer a call to a department specialist or escalate it to a personal phone number for advanced support.
* Transfers are supported for both Twilio and non-Twilio phone numbers, allowing seamless integration with real-world phone systems.
***
## Phone Number Quality & Cleanliness
To ensure your numbers are not flagged as spam, it's recommended you check your numbers before importing or using them for outbound dialing:
* [Robokiller Lookup](https://lookup.robokiller.com/)
* [Should I Answer?](http://www.shouldianswer.com/)
* [Nomorobo Lookup](https://www.nomorobo.com/lookup)
* Search the number in quotes via Google
Regularly check your numbers weekly, monthly, or quarterly, depending on outbound call volume. Once a number is flagged as spam, it is almost impossible to remove it from spam lists.
> ⚠️ **Using flagged numbers may lead to lower connection rates and poor campaign performance.**
***
## Deleting Phone Numbers
* Phone numbers can be deleted from the **Phone Numbers** section.
* If you delete a phone number assigned to an inbound agent, that agent will also be deleted.
* For outbound campaigns, simply assign a different number first if you plan to remove a phone number.
***
## International Numbers
* thinkrr-provided numbers are limited to US and Canadian area codes.
* If you need a phone number with an international area code, you can purchase one through Twilio and import it into thinkrr.
* To make or receive calls in countries outside the US or Canada, use a Twilio phone number configured for that region.
* Twilio numbers must have international calling functionality enabled through your Twilio account.
***

# Twilio Integration
Source: https://docs.thinkrr.ai/guides/usage/phone-numbers/Twilio-Integration
**Twilio integration** enables users to import their Twilio phone numbers into thinkrr seamlessly, allowing full functionality for inbound and outbound calling.
## Overview
Whether importing numbers during setup or adding them later, thinkrr ensures flexibility without limitations on usage. While Twilio phone numbers offer great compatibility, users should be mindful of associated costs and best practices for maintaining clean, high-quality numbers.
## Details
We’ve made it super easy to import Twilio phone numbers into the thinkrr Voice AI platform. Every new account includes **one free phone number**, which can be claimed at any time.
Additional phone numbers can be purchased for **\$1.90 per month each**, billed as a recurring subscription. All numbers available within thinkrr — including those purchased directly through the platform — are **Twilio-based**, and users can buy up to **50 numbers at a time** in a single batch.
**During Initial Setup:**\
After signing into thinkrr for the first time, users are prompted to redeem their free thinkrr phone number or import a Twilio phone number.
**From the Phone Numbers Section:**\
Navigate to **Phone Numbers** in the side panel and click the **Setup Phone Number** button in the top-right corner.
**Information Needed to Import Twilio Numbers:**
* Twilio phone number
* Twilio account ID
* Twilio account auth token
Please refer to Twilio documentation for instructions on where to find this information.
**Using Imported Numbers:**
* Once successfully imported, Twilio numbers can:
* Be attached to **Inbound Agents**.
* Serve as the **Call From** number in **Projects** and **Campaigns**.
Numbers can be easily managed and deleted within the **Phone Numbers** section of the thinkrr Voice AI platform. Simply click the red trashcan button to delete, and confirm your choice.
Note that if you delete a phone number that is attached to an AI Agent, the AI Agent will also be deleted.
## Twilio Number Quality & Cleanliness
Although Twilio numbers are imported from an external provider, it's still important to ensure that the phone numbers you bring into thinkrr are clean and not flagged as spam. Flagged numbers can negatively impact outbound campaigns, connection rates, and overall deliverability.
### Recommended Pre-Import Checks
Before importing Twilio numbers into thinkrr, run them through these third-party lookup tools:
* [Robokiller Lookup](https://lookup.robokiller.com/)
* [Should I Answer?](http://www.shouldianswer.com/)
* [Nomorobo Lookup](https://www.nomorobo.com/lookup)
* Search the number on Google using quotes (e.g., "614-758-2315") to check for public spam complaints.
> ⚠️ **Important:**\
> Once a number is flagged as spam, it is extremely difficult (often impossible) to remove it from global spam lists. Regularly auditing your numbers helps maintain deliverability.
## FAQs & Troubleshooting
### General Questions
Not yet. The option to purchase additional numbers within thinkrr is under development.
No, thinkrr currently supports only Twilio phone numbers.

# Concierge
Source: https://docs.thinkrr.ai/short-term-rentals/Concierge
The **Concierge** role allows businesses and property managers to automate guest communications, providing 24/7 assistance powered by thinkrr and Hostaway. This role connects directly with your Hostaway account, syncing property data to deliver accurate, context-rich responses. For properties not connected via Hostaway, you can also manually add and manage them directly within thinkrr.
## Details
A **Concierge** Inbound Agent is capable of:
* Greeting guests and confirming bookings or stay details.
* Providing real-time information about check-in, amenities, or property rules.
* Sharing local recommendations and handling guest requests.
* Routing calls or sending notifications to property managers when escalation is needed.
The **Concierge** is designed to act as a 24/7 guest assistant, improving service quality while reducing manual coordination for property hosts and managers.
***
## Configuring the Concierge Role

### 4. Defining the Concierge’s Behavior
After selecting the Concierge role, you’ll train your AI to properly represent your property or brand.\
Unlike other roles, the Concierge automatically populates many fields using Hostaway property data.
The following input fields help you tailor its responses:
* **Greeting** – How the Concierge answers calls (e.g., “Welcome to Seaside Villas, your virtual concierge speaking.”)
* **Introduction Text** – Optional message explaining the AI’s role.
* **Property Manager Name** – The manager or host the agent refers to.
* **Property Manager Title** – The title of that person, such as “Host” or “Guest Experience Manager.”
* **Property Details** – Auto-filled from Hostaway (address, amenities, Wi-Fi, check-in/out times).
* **Additional Details** – Notes like “Early check-in available on request.”
* **Local Recommendations** – Restaurants, landmarks, or experiences you’d like highlighted.
![Conciergefields Pn]()
***
If your Concierge Agent is deployed on the **web**, you can customize its widget appearance and placement using the **Web Agent** tab.

* Justify Left, Center, or Right.
* Enable on-screen text (Overlay only).
* Add the domain(s) where the Concierge will appear.
* Include both `www.` and non-www versions if applicable.
Once saved, thinkrr generates a code snippet to embed on your website.
**Knowledge Packs** let your Concierge reference additional documents or URLs beyond what’s imported from Hostaway.\
This is ideal for adding house manuals, FAQs, or brand policies.
**Supported plans:**
* Business Professional: 1 Pack
* Business Growth: 2 Packs
* Agency Lite: 1 Pack
* Agency Unlimited: 2 Packs
**Steps to Add:**
1. In the agent configuration screen, clickon the \*\*Knowledge Packs \*\*tab.
2. Click **Create New Knowledge Pack**.
3. Choose to **Upload Files** (.pdf, .txt, .docx, etc.) or **Enter URLs** to scan.
4. You can edit, delete, or toggle packs on/off anytime.
🚫 **Note:** Sub-accounts cannot access Knowledge Packs from the agency’s main account.
***
### 5. Assigning Actions to the Concierge AI
Once your agent’s behavior and optional modules are configured, click on the**Actions** tab.
Each action appears as a **toggle switch**:
* Turning a toggle **on** opens a configuration sidebar.
* Once configured, the setup will be **retained**, even if later turned off.
* Re-enabling the toggle restores the saved configuration instantly.
- Enter the **phone number** to transfer to.
- Define **when** the transfer should occur.
- Add a **message** to be spoken before the transfer (e.g., “Let me connect you to someone who can help with that.”).
- Multiple call transfers can be set up with unique hours and conditions. If two conditions are true at once, the system prioritizes the first configuration in the list.
* You can configure **business/availability hours** to prevent disruptive off-hour transfers (for example, to avoid calls going through late at night).\
Outside configured hours, the Concierge will offer alternatives such as taking a message or sending an email.
* Select the days of the week and customize the hours for each day.\
After setting one day, you can use **Copy All** to apply the same schedule across all days if desired.
* Transfers only work in **phone-based agents**.
* Enter up to **10 email addresses** to receive notifications.
* Each email includes:
* Guest details
* Call summary and transcript
* Call sentiment
* Recording link (unless the call was transferred)
* These are **internal notifications only**, meant for hosts, property managers, or support teams.
Once saved, your Concierge will be active and ready to manage guest calls, relay key details, and ensure that live staff are notified when necessary.

## Outbound Scenarios for Hostaway
The **Outbound** tab inside each property’s detail view allows you to automate guest communication through pre-built outbound call Scenarios.\
These Scenarios are designed to improve guest experience and reduce repetitive manual outreach before and after a stay.
Once your Hostaway account is connected, each property in thinkrr automatically includes two outbound Scenarios:
* **Welcome Call** – A check-in follow-up call to greet guests and confirm their arrival.
* **NPS Survey** – A post-stay feedback call that collects guest satisfaction ratings and reviews.
> You can configure outbound Scenarios only after adding a property — either manually or through Hostaway.
You can enable, disable, or edit each Scenario directly from the property’s **Outbound** tab. When disabled, Scenarios remain inactive and won’t trigger any calls.
* From the main dashboard, open **Properties** and select the property you want to configure.
* Navigate to the **Outbound** tab in the property’s detail view.
* Each property displays two pre-configured outbound Scenarios — **Welcome Call** and **NPS Survey**.
* You can toggle each Scenario **on or off**, or open it to customize messages, timing, or behavior.
* Click any Scenario to open its configuration panel.
* Adjust call scripts, timing, or escalation settings as needed.
* Use **Save Changes** to apply updates immediately.
### Welcome Call
The **Welcome Call** Scenario automatically contacts guests on their **check-in day** to confirm arrival and ensure everything is in order.\
It uses synced Hostaway data like guest name, property details, and booking info to create a personalized check-in experience.
To learn more about setup, field customization, and example configurations, see the [**Welcome Call Scenario**](/short-term-rentals/outbound-scenarios/Welcome-Call) documentation.

### NPS Survey
The **NPS Survey** Scenario follows up with guests **one day after checkout** to gather feedback and measure satisfaction.\
It can escalate negative feedback to a manager, record neutral comments, or text review links to happy guests.
To learn more about setup, field customization, and example configurations, see the [**NPS Survey Scenario**](/short-term-rentals/outbound-scenarios/NPS-Survey) documentation.

## Knowledge Packs for Properties
You can attach **Knowledge Packs** to properties, giving your concierge and outbound scenarios shared access to structured company information.
* Assign packs directly to a property.
* Use the same Knowledge Pack across inbound and outbound workflows.
* If no pack is assigned, the agent falls back to Hostaway property data.
* Ideal for handling FAQs like “Is parking free?” or “Do you allow pets?”

# Short Term Rentals
Source: https://docs.thinkrr.ai/short-term-rentals/Short-Term-Rentals
Explore integrations and automation tools built for the short-term rental industry. This section covers how thinkrr connects with property management platforms to streamline guest communication, manage check-ins, and collect post-stay feedback automatically.
## Hostaway Integration Overview
## Inbound Agent
## Outbound Scenarios
# NPS Survey
Source: https://docs.thinkrr.ai/short-term-rentals/outbound-scenarios/NPS-Survey
The **NPS Survey** Scenario automates post-checkout feedback calls for Hostaway-connected properties. The AI Agent contacts guests after checkout to measure satisfaction, capture Net Promoter Score (NPS) responses, and escalate negative feedback to property managers for follow-up.
## Details
The **NPS Survey Scenario** is one of the two outbound projects automatically included with every property connected through **Hostaway**. Once your Hostaway account is connected, each property in thinkrr comes preloaded with two default outbound scenarios — the **Welcome Call** and the **NPS Survey**.
You can enable or disable these scenarios individually per property. When disabled, they remain inactive and will not trigger any outbound calls.
> 💡 **Note:** You can configure these scenarios only **after** a property has been added — either manually or via a connected Hostaway account.
This Scenario is designed to collect post-checkout feedback from guests automatically after their stay. Using synced Hostaway data — including the guest’s name, booking details, and property information — the AI Agent places a call to thank the guest for their stay, measure satisfaction, and record feedback. Based on the guest’s sentiment, the AI can escalate issues to a property manager, collect neutral feedback, or send a review link to happy guests.
***
## Key Features
1. **Purpose**
* Automate post-checkout feedback collection.
* Capture satisfaction scores (NPS) directly through voice interaction.
* Escalate negative responses for immediate follow-up.
* Drive more positive reviews with automated SMS follow-ups.
**Customizable User Input Fields**
The **NPS Survey** Scenario provides structured, customizable fields that control how the AI speaks, responds, and behaves throughout the call. These inputs are divided into categories for clarity — allowing you to tailor tone, timing, and message flow to fit your property’s communication style.
Each field can be configured with scripted or prompted text, and many support dynamic values such as `{client_firstname}`, `{property_name}`, or `{representative_name}` for personalization. The structure mirrors other outbound scenarios in thinkrr, making it easy to reuse familiar patterns across projects.

# Welcome Call
Source: https://docs.thinkrr.ai/short-term-rentals/outbound-scenarios/Welcome-Call
The **Welcome Call** Scenario automates personalized post-check-in calls for Hostaway-connected properties. Acting as a virtual concierge, the AI Agent confirms guest arrivals, ensures satisfaction, and provides key property information—reducing workload for property managers and improving the guest experience.
## Details
The **Welcome Call Scenario** is one of two outbound projects automatically included with every property connected through **Hostaway**.
The **Welcome Call** is designed to provide an automated, yet personal, guest experience immediately after check-in. Using synced Hostaway data such as guest name, property details, and booking information, the AI Agent places a warm welcome call to confirm the guest’s arrival, ensure everything is working properly, and offer assistance if needed. This automation keeps guest communication proactive, professional, and consistent across every stay — without requiring manual effort from your team.
## Key Features

The **Welcome Call** Scenario includes a structured set of fields that define how the AI Agent greets guests, verifies their check-in, and handles any issues they mention. These fields mirror the configuration style of other outbound scenarios in thinkrr, making setup straightforward across multiple properties.
Each input field can include scripted lines or dynamic placeholders like `{client_firstname}`, `{property_name}`, and `{representative_name}`. This ensures every call feels natural and personalized while staying scalable across dozens of properties.

# 2026
## August
### Feature Releases
* **Your Copilot Just Got Smarter**
* On outbound calls, Copilot can now configure your calendar for you — setting meeting location and duration without you doing it by hand.
* Just tell Copilot what you need, and it takes care of the setup.
* **Find Inbound Agents Faster**
* Search now also matches an agent's description, website, or phone number — not just its name.
* Paste a full URL or a phone number in any format, and Thinkrr will match it against what's configured.
* **Better Contact Search in Test Calls**
* Contact search now works the same way for both inbound and outbound test calls.
* Your full contact list loads as you scroll, and search covers every contact on your account — not just the most recent ones.
* **Outbound Campaigns Now Stop On Schedule**
* Fixed an issue where outbound campaigns could keep placing calls past their set duration.
## July
### Feature Releases
* **Thinkrr Mobile Support**
* Thinkrr is now usable from your phone — sign in, view contacts, check call history, purchase minutes, and test your inbound agents, all without needing a desktop.
* **Smarter Receptionist Calls**
* Inbound Receptionist agents now recognize returning callers and use what's already on file — name, email, timezone, and saved context — so you're not asked the same questions twice.
### Feature Releases
* **Copilot for Outbound Scenarios**
* The Copilot — the AI assistant that helps configure your agents — now works on Outbound call scenarios too, not just the receptionist.
* Talk with the Copilot directly from a project's Scenario page to create or update your outbound configuration.
* Use **Accept All** to apply every suggested change from the Copilot at once instead of reviewing them one by one.
* **Real-Time Appointment Booking**
* Outbound and inbound calls now book appointments in real time during the call, instead of after it ends.
* If a caller changes their mind mid-call — like switching the day or time — only the final agreed time gets booked.
* CRM and webhook updates still fire only once the call is complete, so downstream systems aren't affected.
* **A Redesigned Retrain Flow**
* Agent settings now has two sub-tabs — **Overview** and **Retrain** — so each focuses on one thing.
* Retrain fields appear in order — URL, then Industry, then the action button — so you can't accidentally retrain without an industry selected.
* Search the voice list by name, language, or style; matches are highlighted and a counter shows how many fit.
* A live indicator shows when training is running, even if you switch back to the Overview tab.
* **Holiday Call Transfer Exceptions**
* You can now set up holidays for inbound call transfer, so your agent recognizes when the business is closed even on a day that's normally open.
* Add one-time or yearly recurring holidays, or quickly add your local public holidays and edit or remove them anytime.
* **Import & Export Agent Configurations**
* Agent configurations — inbound or outbound — can now be exported to a file and re-imported to recreate the same setup.
* Makes it easy to duplicate or back up an agent's full configuration without rebuilding it from scratch.
* **Admin Password Reset**
* Admins can now trigger a password reset for any user in their team right from the Users menu, without waiting for the user to self-serve.
* A secure, single-use reset link is emailed to the user and expires in 24 hours; all of that user's active sessions are signed out once the password changes.
* Every admin-triggered reset is logged in the audit trail.
## May
### Feature Releases
* Receptionist 2.0
* A major upgrade to how Receptionist agents are built from the source code up. The new style agent uses a more structured and reliable system, resulting in fewer hallucinations, clearer conversation pathways, and an AI agent that only offers capabilities that have been explicitly enabled (such as transfers, messaging, or booking).
* More natural conversation and pacing — improved pacing and naturalness, particularly noticeable when repeating phone numbers, addresses, and during overall conversation flow.
* Clear Time Talk — replaces confusing regional phrasing with abbreviated, human-readable timezones (e.g., EST). Automatically recognizes the caller's timezone from their city or region.
* Smart Identity Awareness — recognizes callers in the contact list and uses their name, email, and timezone automatically, skipping redundant questions for known contacts.
* Smart Transfer Routing — intelligently matches a caller's request to the right person or team, whether by name or description. If a transfer isn't available, the agent offers alternatives instead of leaving the caller stuck.
* Channel-Aware Ready — the agent now knows whether it is speaking to the caller on the web or by phone and adjusts behavior accordingly.
* Actions Capability Awareness — the agent only states it can perform actions that have been enabled in the actions menu.
* Brand New Optimizer (Beta) — a new feature that analyzes each section of the agent's existing configuration and optimizes it to improve performance.
* Future Features Ready — the new architecture unlocks upcoming capabilities such as booking cancellation and rescheduling, and flexible multi-language agents supporting up to 3 languages per agent.
* Impact on existing configuration — the new agent follows stricter rules on conversation flow. Existing configurations should be tested with Receptionist V2 to confirm there are no breaking changes. Concerns can be reported in the messaging window when switching back to V1.
* Existing receptionist agents continue to use Version 1 to prevent any regressions until users choose to migrate. All new receptionist instances default to Receptionist 2.0.
## April
### Feature Releases
* **Clone Agent to Sub-Accounts**
* Agency owners can now duplicate any inbound agent directly to one or more sub-accounts.
* A notification confirms successful delivery and flags the agent as needing activation for unconfigured fields.
* **Block Phone Numbers**
* Users can now add phone numbers to a block list to prevent those numbers from connecting to inbound phone agents and wasting minutes in case of spam.
* Blocked numbers will hear a system message when they attempt to call in.
* **Language & Dialect Selector**
* Agents configuration now supports dialect selection for languages with multiple accents for more granular configuration.
* **Sales Coach Upgrades**
* The Sales Coach has been updated with two new tabs:
* **Sessions** — view a history of completed coaching sessions.
* **Scoring** — review performance scores and detailed feedback from each session.
* **Google Sign-In & Sign-Up**
* Users can now sign in and sign up using their Google account.
* **Existing users** can connect a Google account from **Profile Settings**. If the Google email matches the only account associated with that email in the system, the connection is established automatically on first use.
* **New users** can sign up with Google directly from the onboarding flow.
### Improvements & UI Updates
* **URL Normalization in Configuration Fields**
* URLs pasted into agent configuration fields are now automatically cleaned and normalized on save.
* **Action Name Character Limit**
* Agent action names now have a 32-character limit with a visible character counter.
### Bug Fixes & Quality Improvements
* Fixed an issue where phone numbers collected during web widget interactions did not appear in Call History or in email notifications sent to representatives.
## March
### Feature Releases
* **Do Not Disturb (D\&D) Contact Status**
* Contacts can now be marked as **Do Not Disturb** to prevent them from being called in future campaigns.
* There are two types of D\&D status:
* **Manual D\&D** — users can mark any contact as D\&D directly from the contact or campaign view, selecting a reason (e.g. billing issues). Manual D\&D can be removed by the user at any time.
* **System D\&D** — automatically applied when a contact explicitly requests not to be called during a call, or when a contact has been called more than 10 times without answering.
* D\&D contacts are skipped automatically when a campaign runs — no minutes are consumed for skipped contacts.
* **Import Your Own Phone Number for Outbound Calls**
* Users can now bring their own phone number to use for outbound campaigns and inbound agents.
* To add a number, go to **Phone Numbers → Set Up Phone Number → Use My Existing Phone Number**.
* A verification call is placed to confirm ownership.
* There is no additional charge for importing a phone number — standard minute usage applies as normal.
### Bug Fixes & Quality Improvements
* **Duplicate Campaign Contact Options**
* When duplicating a campaign, users can now choose whether to start with a clean contact list or carry over all existing contacts from the original campaign.
* Fixed an issue where the White Label login page button did not reflect the brand color set in White Label settings.
### Feature Releases
* **Weekly & Monthly Agent Reports**
* The **Send Reports** action includes:
* **Weekly** reports
* **Monthly** reports
* **Improved Knowledge Pack Website Scraping**
* Knowledge Packs support scraping specific website pages when adding URLs.
* After entering a website, users can review discovered pages and choose which ones to include.
* **Low-Minute Campaign Protection**
* When account balance drops too low, active campaigns with remaining calls are paused automatically.
* A persistent warning banner appears across the app until minutes are added.

### **Core Platform Announcements**
* **The promotional period for the Web Widget has now ended**
By creating and enabling the Web Widget, all inbound and outbound calls, as well as conversations through the widget, will now be billed at a reduced rate of **\$0.16 per minute**.
This pricing logic is applied **per call**, based on the widget’s status at the **end of the call**.
> ⚠️ If the widget is disabled or there’s a sync failure, calls are billed at the default **\$0.16/min** rate.
* **New: Bucket-Based Minute Consumption Model**
AVA now uses a **bucket system** to track and apply minutes. You may have minutes from different sources, each with their own rate (e.g., standard, discounted, or bulk). The system will **always consume from the lowest-cost bucket first**, maximizing your value. For example:
* Bulk minutes purchased at **\$0.09/min** are used first.
* After those are depleted, usage switches to **\$0.16/min** buckets — depending on whether the widget is active. Full billing mechanics, including buckets, fallback behavior, and live rate display are explained in the [**Minute Pricing & Discount**](/guides/consumption/minutes-management/Minute-Pricing-and-Discount) guide.
* **Scenario UI Overhaul Completed** All Scenarios in the AVA platform have been updated to use a new section-based UI for organizing user input fields. This dramatically improves clarity and onboarding. Each scenario now clearly segments configuration into intuitive categories (e.g., Opening Script, Meeting Details, Call Intent), helping users understand what’s customizable and how it impacts call behavior.
* **Inbound Agent Improvements** Inbound AI Agents have received substantial backend improvements. These include:
* More accurate language generation for complex user inquiries
* Faster fallbacks and better handling of unexpected inputs
* Call transfer bugs resolved for all agents using warm handoff flows

# Thinkrr Support Agent
Source: https://docs.thinkrr.ai/support-resources/support-channels/Thinkrr-Support-Agent
An AI-powered voice support tool designed to provide users with instant help for Thinkrr-related questions and troubleshooting.
### Overview
The **Thinkrr Support Agent** is a virtual AI-powered assistant designed to provide instant support for common questions and issues related to Thinkrr products and services. It can help with onboarding, features, troubleshooting, pricing, and plan details, all through a voice-enabled conversation.
In addition to answering questions, the Support Agent can now work directly with our support ticketing system. It can find a user, create new tickets, look up existing tickets, read back public updates, and add new information to open tickets. It also follows structured flows for cancellation and retention requests so that important issues are routed correctly.
Before submitting a support ticket manually, we recommend chatting with the Support Agent. It is free, fast, and always available.
To get started, visit the Thinkrr support page and ensure your microphone is enabled. The AI Agent will listen and respond in real time, so there is no need to type or wait for human intervention.
### Details
The Support Agent can assist with the following topics:
* **Features** - Get detailed information on product capabilities and how to use them.
* **Onboarding** - Step-by-step guidance for new users setting up Thinkrr for the first time.
* **Troubleshooting** - Immediate help diagnosing and resolving common issues where possible.
* **Pricing** - Answers to frequently asked questions about costs, billing cycles, and upgrades.
* **Plan Details** - Understand the differences between subscription tiers and what is included in each.
* **Ticket Support** - Create new support tickets, check status on existing ones, and add extra information when needed.
* **Retention and Cancellation** - Handle cancellation style requests in a structured way and route them for follow up.
How to use the Support Agent:
* Visit the Thinkrr support page at [**thinkrr.ai/support**](https://thinkrr.ai/support)
![7 1supportai Pn]()
* Enable microphone and browser permissions if needed.
* Click on the circular icon containing the headphone symbol.
* Speak your question clearly. The AI will respond instantly.
### Support Agent Capabilities
The Thinkrr Support Agent now connects to the support backend to help users do more than just ask questions. It can perform a set of support actions that mirror what a human agent would usually need to do.
#### 1. Find an existing user
When you provide your email address or phone number, the Support Agent can look up your contact record in the support system. This helps it:
* Confirm that it is speaking to the right person.
* Locate your related tickets.
* Avoid creating duplicate tickets for the same issue.
If the agent cannot find a matching contact, it will let you know and guide you through what is possible next.
#### 2. Create a support ticket
If the issue cannot be resolved through simple troubleshooting, the agent can create a support ticket on your behalf.
During this flow the agent will:
* Ask for the email or phone number that should be linked to the ticket.
* Collect a clear description of the problem in your own words.
* Ask follow up questions if needed so the ticket has enough context.
* Submit the ticket into the support system with a subject and description that reflect the issue.
This removes the need to fill out separate forms or write long emails. The information you tell the agent becomes the content of the ticket.
#### 3. Check ticket status and read public updates
You can ask the Support Agent for the status of an existing ticket.
Once it finds you and your tickets, it can:
* List open or recent tickets associated with your contact.
* Tell you the current status of a specific ticket.
* Read back the latest public notes that the support team has added.
This is useful when you want an update but do not want to send follow up messages or search through email threads.
#### 4. Add information to an existing ticket
If you forgot to include something or have new information about an issue, you can ask the Support Agent to add it to your ticket.
The agent will:
* Identify which ticket you are talking about, either by ticket reference or by confirming from a list of recent tickets.
* Collect the new details you want to add.
* Append those details to the existing ticket as an additional note, instead of opening a new ticket for the same problem.
If your request is clearly related to a ticket that is already open, the agent will prefer to update that ticket so that the context stays in one place.
#### 5. Troubleshoot common issues
For many frequently reported issues, the Support Agent can walk you through standard troubleshooting steps directly in the conversation, for example:
* Clarifying where to find a setting or option.
* Explaining how to complete a configuration step.
* Guiding you through basic checks before a ticket is created.
If the steps do not resolve the issue, the agent can move straight into ticket creation with the context it just gathered.
#### 6. Plan information and subscription questions
The Support Agent can answer high level questions about:
* Available plans and what they include at a feature level.
* Basic differences between tiers.
* Where to manage your subscription inside the product.
If your question requires account specific changes, detailed billing adjustments, or anything that needs a human review, the agent will guide you to open a ticket so the support team can handle it.
#### 7. Retention and cancellation style requests
If you say you want to cancel or are considering canceling, the agent follows a more structured flow. It can:
* Clarify what you are trying to change or cancel.
* Provide relevant information that might help resolve the concern.
* Capture the reason for the cancellation style request.
* Create or update a ticket so the support team can follow up with the right priority.
This ensures that cancellation related conversations are recorded clearly and do not get treated like a generic support question.
### Configuration
There is no installation or technical setup required to use the Support Agent. Simply:
* Open the Thinkrr support page.
* Allow microphone access when prompted by your browser.
* Begin speaking to ask your question or describe your issue.
For any ticket related flows, you will be asked to provide contact details such as an email address or phone number. This is required so that tickets and updates can be linked to the correct user.
For the best experience, use a supported browser (Chrome, Edge, Safari) and ensure your internet connection is stable.
### Usage and Results
* **Real time responses:** The AI provides immediate answers to most support related queries.
* **Ticket creation:** When an issue cannot be solved directly, the agent can create a support ticket with the information gathered in the conversation.
* **Ticket status updates:** Users can request the status of existing tickets and hear the latest public notes without needing to email support.
* **Ticket updates:** Additional context can be added to an open ticket, keeping all information in one place for the support team.
* **Guided troubleshooting:** For common problems, the agent provides step by step guidance before escalating.
* **Retention routing:** Cancellation style requests follow a structured path so that they are handled with proper attention.
* **No delays or wait times:** Get help instantly without needing to wait in a queue for a human agent.
* **Streamlined experience:** Ideal for quick questions and guided flows without leaving the website.
* **Escalation path:** For more advanced issues, the AI can guide users to submit a ticket or contact human support.
### FAQs and Troubleshooting
